Getting Started

Start with a free 30-minute consultation. Reach out via our contact form or email us at hello@wavelengthaccounting.com. We'll schedule a call to understand your business, assess your current books, and recommend the right plan. If it's a fit, we'll send an onboarding packet and get to work within 48 hours.

At minimum: access to your bank accounts (read-only is fine), your accounting software login (if you have one), and a rough sense of your monthly transaction volume. We'll walk you through the rest during onboarding.

Typically 3–5 business days from signed agreement to active bookkeeping. If you need historical catch-up, we'll scope that separately. The goal is to have your first monthly close completed within 30 days of starting.

No. If you're not currently on either platform, we'll handle the setup as part of onboarding. If you're using spreadsheets, Wave, FreshBooks, or another tool, we can migrate you over — usually without losing historical data.

Services & Scope

We work exclusively in QuickBooks Online and Xero. Both are industry-leading cloud platforms with robust integrations, bank feeds, and reporting. We'll recommend one based on your business type and needs — or follow your preference if you're already on one.

Yes — payroll processing is included in the Premium plan and is available as an add-on for Basic and Standard clients. We process payroll for W-2 employees, handle federal and state payroll tax filings, and manage direct deposit.

Yes. This is called 'catch-up' or 'cleanup' bookkeeping, and it's one of our specialties. We'll give you a custom quote based on the number of months, transaction volume, and current state of your records. Once complete, you'll have clean financials and can transition to a monthly plan.

We don't prepare tax returns in-house, but we prepare your books to be completely tax-ready and work directly with your CPA. If you don't have a CPA, we can refer you to one of our trusted partners.

Our cash flow forecasting provides a rolling 90-day view of your expected cash position, based on your historical patterns, accounts receivable, accounts payable, and known upcoming expenses. It's updated monthly and reviewed on our strategy call.

Pricing & Billing

All three plans have fixed monthly rates ($200, $350, $500). The only variable is transaction volume — if you exceed your plan's limit, overages are billed at $50 per additional 50 transactions. We'll always notify you before any overage is charged.

No contracts and no minimum commitment. All plans are month-to-month. If you need to pause or cancel, just give us 30 days' notice.

We bill monthly via credit card or ACH bank transfer. Invoices are sent on the 1st of each month for the upcoming month's service. All billing is handled through a secure payment portal.

Yes, anytime. Upgrades take effect immediately (prorated). Downgrades take effect at the start of the next billing cycle. We'll let you know proactively if your transaction volume suggests a different plan would be a better fit.

Security & Access

We use read-only connections wherever possible. For bank accounts, this is done through your bank's official third-party access portal (the same system used by accounting software). For QuickBooks and Xero, you invite us as an 'Accountant' user — which gives us bookkeeping access without your full login credentials.

Yes. All data is handled through bank-level encrypted platforms (QuickBooks Online, Xero, and your bank's secure portal). We maintain strict data handling protocols, require our team to sign NDAs, and never store sensitive credentials ourselves.

Absolutely — they're your books. QuickBooks Online and Xero give you full real-time access 24/7. You'll see everything we see, always. We also send monthly summary reports regardless of whether you log in.

Communication & Deliverables

By the 15th of the following month for Basic and Standard clients. Premium clients receive deliverables by the 10th. Financials are delivered as PDF reports and are always accessible in real-time through your accounting software.

Primarily email for day-to-day communication. Standard and Premium clients also have monthly video calls with their dedicated bookkeeper. Premium clients have the option for weekly check-ins. We respond to all emails within one business day.

Just email us. We respond to client emails within 24 hours (often same-day). Premium clients have priority support with a 4-hour response time during business hours.
